Reporting To
Parts Manager

Responsible For
Parts Sales Staff, Stock Control Clerk.

Main Purpose of Job
To develop and agree Parts Department Plans and Budgets to achieve sales and financial targets.

To develop and agree Parts Stockholding at agreed levels to ensure first time availability of parts to all customers, of at least 90%.

To maintain staff relationships and motivate and manage team to achieve the highest levels of customer service.

Detailed Responsibilities
I. To develop and agree annual sales and operating plans and budgets, covering long, medium and short term objectives, to achieve agreed financial, market, productivity and resource control targets including:
a. Describe and assess market potential and revenue forecasts.
b. Develop operating expense, capital budgets and profit improvement targets.
c. Agree Plans with Aftersales Director and inform Parts Department staff to maintain commitment and motivation

II. Create and agree the organisation and staffing for the Parts Department to ensure the efficient achievement of objectives, including:
a. Develop organisation Structure and responsibilities.
b. Carry out interviewing and selection as required.
c. Ensure adherence to all employment policies in line with existing legislation.

III. Create and establish control systems for all departmental resources; material, financial and personnel - and monitor cautiously all factors affecting the achievement of plans. Assess trends in all key indicators, agree corrective action and implement in a timely manner.

IV. Create agree and implement sales, merchandising, advertising and sales promotion plans to support the achievement of Parts Department Plans and Budgets.

V. Utilise monthly management accounts system to monitor and control department productivity and profitability.

VI. To ensure efficient and timely operation of administrative systems and operating procedures, including

VII. Submit all manufacturer stock orders by the due times dates.

VIII. Completion of statistical reports by due dates.

IX. Invoicing of all parts at the time of issue.

X. Carry out stock Checks, both perpetual and annual full stock checks.

XI. Monitor continuously stock levels to ensure minimum obsolete stock ( 5% or less of stock value) and 90% of first time parts availability.

XII. Maintain Parts Reception Area and showroom display areas to agreed housekeeping standards and ensure effective display parts and accessories to promote Parts Sales.

XIII. Organise and administer stock checking procedures on a regular basis as required by management and complete regular buy-backs up to the value of obsolescence reserve. Scrap parts so identified as surplus to buy back and current usage within budget.

XIV. Administer and resolve all customer parts enquiries and complaints in a competent and timely manner.

XV. Take action as required to ensure genuine Parts and Accessories are purchased and sold.

XVI. To establish, implement and regularly review a suitable training programme for all staff to ensure the progressive development of the Parts Personnel. Particular emphasis should be placed on all control aspects, sales presentation and customer handling.

Relationships

To maintain relationships with the following in order to facilitate the achievement of Dealership goals; Direct relationships: Dealer Principal/Aftersales Manager, Parts Salespersons, Indirect Relationships: Sales Manager, Service Manager and their Staff, Management Accountant.

Limits of Authority
Not to exceed agreed price and discount levels without justification and approval of Aftersales Director.

Not exceed budgeted expenditure and stock levels without justification and approval of the Aftersales Manager / Parts Manager
