Due to our rapid expansion we are seeking an experienced Warranty and Costing Clerk to join our expanding and busy team. 

This is a very exciting opportunity for someone looking to work within the Motor Trade. This role is key within the business and the Warranty and Costing Clerk is responsible for timely, accurately, and profitably costing and invoicing, without jeopardising customer loyalty.

To ensure that costing and warranty is completed within the Manufacturers and Jacksons guidelines.

To ensure that all external customer invoicing is up to date on a daily basis and that internal and warranty costing is up to date on at least a weekly basis.

Main Purpose of Job

To ensure that all costing is completed in an accurate, timely and profitable manner, without jeopardising customer loyalty.

To ensure that costing and warranty is completed within the Manufacturers and Jacksons guidelines.

To ensure that all external customer invoicing is up to date on a daily basis and that internal and warranty costing is up to date on at least a weekly basis.

To maintain, control and administer the warranty systems for all manufacturers ensuring the maximum possible legitimate level of claim is submitted.

To maintain controls and reconciliation of warranty payments and debits.

To carry out all the duties of a Service Advisor when required.

 

Detailed Responsibilities

              

  • Prepare invoices in a clear and well laid out manner and match any prices quoted for payment
  • Provide explanation of charges and warranty/goodwill procedures where required.
  • To prepare and submit warranty and goodwill claims with all manufacturers.
  • To ensure warranty parts are stored correctly, clearly identified and returned to the manufacturer in a timely manner.
  • To request goodwill and submit goodwill claims.
  • To carry out retail and internal invoicing ensuring invoices are fair, accurate, reflect manufacturer times and are available for presentation to customer at collection.
  • To ensure that invoicing is maintained and up to date.
  • Maintain Customer Record Files and Repair Order Register on a daily basis to ensure accurate analysis of Service Department activity.
  • Making contact with customer following warranty or goodwill work to ensure satisfaction with claim procedure and advise of decisions where appropriate.
  • Maintain Service office standard of house keeping and display.
  • Maintain reference material: handbooks, brochures, How to and Help guide, accessory manual in the Service Office for customer enquiries.
  • Maintain and improve personal Product and Technical knowledge through Information bulletins, magazines etc, and attending training courses as agreed with Service Manager.
  • Maintain up to date knowledge of Warranty and Goodwill procedures of manufacturers and the dealership to ensure claims are processed fairly and as quickly as possible.
  • To attend training courses as required both within Jersey an on the mainland UK.
  • To develop and maintain a harmonious and respectful working environment with colleague and manufacturers.

 

Limits of Authority

  • Not to exceed capacity workshop in schedules such as to endanger customer goodwill.
  • Not to authorise additional work unless approved by the customer on both price and return of vehicle.
  • Not to agree discounts, guarantee and goodwill claims outside agreed policies without approval of the Service Manager.
  • Not to release vehicles without obtaining payment or establishing Account Status
